1. Introduction

1.1. These Terms and Conditions ("Terms") govern your access to and use of qepacko.co.uk and any related pages, tools, or downloadable outputs (the "Service"), operated by NEEDRATE LIMITED (company number 15638427, registered office: Academy House, 11 Dunraven Place, Bridgend, Mid Glamorgan, United Kingdom, CF31 1JF) ("Qepacko", "we", "us", "our").

1.2. By creating an account, paying for any operation, or using any file-processing features of the Service, you agree to be bound by these Terms. If you do not agree, you must stop using the Service immediately.

1.3. Qepacko provides automated tools that process PDF files into editable Word or Excel documents on a pay-per-operation basis. Results may vary depending on the structure, formatting and clarity of your uploaded PDF. We do not guarantee that the processed file will be identical to the original layout.

2. Definitions

• Account - your user profile on the Service, created using an email address and password or any supported login method.
• Operation — a single chargeable action you complete through the Service (for example, processing one document to a chosen format, or an AI feature), billed per page.
• Services - file-processing tools provided through the Service, including PDF-to-Word, PDF-to-Excel and other formats we may introduce.
• Outputs - the processed Word/Excel files or other digital content generated from your uploaded PDFs.
• Client Data - all materials you upload, including PDFs, text, tables, images, annotations and any other content contained in your documents.
• Third-Party Platforms - any software, cloud storage provider, email service, collaboration platform or other third party with which you may use or store Outputs.

3. Eligibility & Account Registration

3.1. You must be at least 18 years old or have valid corporate authority to use the Service.

3.2. You must provide accurate and complete registration details and keep them updated. You are responsible for safeguarding your login credentials.

3.3. If you believe your Account has been accessed without permission, you must notify us at info@qepacko.co.uk immediately.

4. Nature of Services & Contract Structure

4.1. Qepacko provides automated digital processing tools. We do not manually review, edit or proofread documents unless explicitly stated in writing.

4.2. The quality of Outputs depends on the quality and structure of the uploaded PDF. Complex layouts, scanned pages, tables, embedded fonts or images may result in partial or imperfect processing.

4.3. We do not guarantee compatibility of Outputs with any specific software (such as Microsoft Word, Excel, Google Docs or other programs), nor do we guarantee preservation of formatting.

4.4. Your contract with us is formed when you create an Account and is supplemented each time you pay for an operation or paid Service.

5. Scope of Services

5.1. Depending on the features available to you, the Service may include:

• PDF-to-Word processing
• PDF-to-Excel processing
• Batch or bulk processing tasks (where available)
• High-resolution or enhanced processing features
• Download links and limited file history
• Any new tools introduced on the Service

5.2. Outputs are generated automatically using software algorithms. Any errors or inaccuracies caused by inconsistent source formatting, scanned content or complex layouts are not considered a Service fault.

5.3. You are solely responsible for reviewing, editing and verifying the accuracy of processed documents.

5.4. We may impose reasonable limits on file size, number of pages, upload frequency or processing time.

6. Delivery of Digital Content (Outputs)

6.1. No physical shipment. The Service delivers digital content only. Delivery occurs when processing completes and the Output is made available in your Account.

6.2. Immediate access. As soon as processing is complete, the Output is available for viewing and download. Additional downloads of the same Output are not charged again while it remains available.

6.3. Download process. Use the Download action next to the Output in your Account to save it to your device.

6.4. Gallery / history. Generated Outputs appear in your personal gallery for later access and re-download, subject to availability.

6.5. Limitations. Access depends on successful processing and your connectivity. If processing fails, we will attempt re-processing or, if not feasible, provide a remedy under our Refund & Cancellation Policy.

6.6. Support. If you cannot access or download an Output, contact info@qepacko.co.uk with your order reference, file name, timestamps and any error messages.

7. Client Data & Responsibilities

7.1. You confirm that you have all necessary rights and permissions to upload PDFs and other materials to the Service.

7.2. You must not upload Client Data that:

• infringes third-party copyrights;
• contains harmful code or malware;
• is unlawful, deceptive or violates privacy laws;
• includes sensitive categories of personal data unless legally permitted.

7.3. You are responsible for retaining backups of your Client Data and Outputs. We do not guarantee long-term storage.

7.4. By uploading Client Data, you grant Qepacko a limited, non-exclusive licence to process the data solely for providing the Service.

8. Acceptable Use

You must not:

• attempt to bypass technical limits or security controls;
• try to access other users' Accounts;
• reverse engineer or copy the Service;
• upload excessively large volumes of files in a way that may overload the system;
• use the Service for unlawful content or activity;
• attempt to obtain Outputs by fraudulent means.

We may suspend or terminate your Account if we reasonably suspect misuse or security risks.

9. Pricing & Payment

Accepted payment methods: Visa and Mastercard. Accepted currencies: GBP (£), EUR (€), CAD (CA$).

9.1. Pay per operation. You pay for each operation individually, by card, at the moment you download its result. There is no prepaid balance, no packages and no stored funds.

9.2. Per-page pricing. The price of an operation is calculated per page at the rate for the chosen output format, plus an OCR surcharge per page where OCR is required. Prices are set in GBP and may be displayed in supported currencies using the exchange rate shown in the Service. Current rates are shown on our Pricing page and in the Service before you pay.

9.3. Failed operations. If an operation does not complete successfully, it is not charged. You pay only for a finished, downloadable result.

9.4. Authorisation. By submitting a payment method, you confirm that you are authorised to use that card.

9.5. Invoices. Electronic receipts or invoices are provided for each payment, including applicable VAT where required.

10. Cancellations, Refunds & Chargebacks

10.1. Because you pay only at the point a completed result is delivered, digital performance and payment happen together. You may abandon an operation at no cost any time before payment.

10.2. As payment is taken only for a delivered result, refunds do not arise, subject always to your non-excludable statutory rights. Unsuccessful operations are not charged.

10.3. If a paid Output cannot be generated, or is materially defective, due to a Service fault, we will re-run the affected operation at no additional charge or provide a suitable alternative.

10.4. If you initiate an unjustified chargeback:

• we may suspend or terminate your Account;
• we may seek reimbursement of losses and processing fees where permitted by law.

11. Intellectual Property

11.1. The Service, software, design, trademarks and underlying technology belong to Qepacko or its licensors.

11.2. We do not claim ownership of your Client Data. You retain all rights to your content.

11.3. Subject to these Terms, you receive a non-exclusive licence to download and use the generated Outputs for personal or business purposes.

11.4. You must not resell, redistribute or commercially offer Qepacko's processing system as a competing service.

12. Confidentiality

Both parties may access confidential information during the use of the Service. Each party must protect that information and use it only for providing or receiving the Service.

13. Third-Party Platforms

13.1. Outputs may be used with external platforms or software tools outside our control.

13.2. We are not responsible for compatibility, performance or actions of third-party software.

13.3. Any integration or connection with third-party systems is at your own risk.

14. Warranties & Disclaimers

14.1. We will use reasonable skill and care in operating the Service.

14.2. All Outputs are provided "as is" and "as available". We do not guarantee:

• identical formatting between original and processed files;
• perfect accuracy of tables, images or text;
• uninterrupted or error-free operation;
• that the Service will meet your specific expectations.

15. Limitation of Liability

15.1. Nothing in these Terms excludes liability for fraud or personal injury caused by negligence.

15.2. To the fullest extent permitted by law, our total liability in any 12-month period is limited to the total payments you made to us during that period.

15.3. We shall not be liable for:

• loss of profits or revenue;
• business interruption;
• loss of data;
• indirect or consequential losses;
• formatting errors or incomplete processing results caused by the nature of your PDF.

16. Indemnity

You agree to indemnify Qepacko against claims, damages, or expenses arising from: (a) your unlawful use of the Service; (b) your breach of these Terms; (c) any claim relating to Client Data you upload.

17. Data Protection & Privacy

We process personal data under UK GDPR and the Data Protection Act 2018. Details are provided in our Privacy Policy.

We may share limited personal data with trusted processors (payment, hosting, analytics, support), strictly for operating the Service.

18. Suspension & Termination

We may suspend or terminate your Account if we believe you violated these Terms, engaged in fraud, created legal risk or posed technical dangers.

You may close your Account at any time. Closing your Account does not entitle you to any refund.

19. Changes to the Service or Terms

We may update features, pricing or these Terms from time to time. Material changes will be communicated through the Service or by email.

Continued use of the Service after the effective date of updated Terms constitutes acceptance.

20. Governing Law & Jurisdiction

These Terms are governed by the laws of England and Wales. Disputes may be brought before the courts of England and Wales, or your local courts if UK consumer law permits.

21. Miscellaneous

If any provision is found invalid, the remaining provisions remain effective.

No delay in exercising rights constitutes a waiver.

You may not assign your rights without our consent.
